Why Construction Needs Private AI {#why-private}
Three pressures are converging right now:
1. Owner data clauses are getting stricter. Federal projects, healthcare clients, school districts, and most Fortune 500 owners now ship contracts with explicit AI/data clauses. 2. The data is sensitive but the work is repetitive. Submittal logs, daily reports, RFIs, three-week look-aheads, T&M tickets — these are templated documents that take a PM 10–14 hours per week. They also contain bid numbers, owner financials, security details, and labor rates that should not leave the trailer.
3. Connectivity on jobsites is unreliable. A trailer in a basement, a tower crane on a rural site, a renovation in a SCIF — half the time your LTE bar is one notch and Procore is unusable. Local AI runs whether the cell tower is up or not.

Takeoff is still mostly manual or done in OnScreen Takeoff and PlanSwift. Local AI does not replace those tools. It speeds up the boring parts: extracting bid items from specs, reconciling addenda, and drafting subcontractor scope letters.

- Quantifying steel or concrete (use real takeoff software)

Use Case 2: RFI and Submittal Drafting {#rfi-submittals}

I have watched a project engineer turn a 96-page spec book into an 84-line submittal log in roughly 12 minutes. Done by hand, that is a half-day task. The engineer still reviews every line — that is non-negotiable — but starts from a 90% draft instead of a blank cell.

If your scheduler exports a CSV from Primavera P6 or Microsoft Project, the AI can turn it into a readable narrative:

Keep total under 600 words. Use plain English. No corporate-speak.
Use Case 4: Plan and Spec Q&A {#spec-qa}
Specs are 800-page PDFs that nobody reads cover-to-cover. RAG (retrieval-augmented generation) over the project specs is the single highest-value local AI feature for a project team.

The accuracy on these is roughly 88% on factual lookup and roughly 70% on conflict-finding in our pilot tests. The conflict-finding number is lower because the model often misreads cross-references. Always verify before sending an RFI based on AI output.
Use Case 5: Toolbox Talks and Safety Write-Ups {#safety}
Weekly toolbox talks, post-incident write-ups, and JHA (job hazard analysis) drafts are a great fit for local AI. The model has plenty of OSHA training data baked in.

Write a 5-minute toolbox talk on {topic, e.g., "ladder safety on suspended scaffolds"}.
Format:
- Hook (1 sentence — something that grabs attention)
- 4 key rules with brief explanation

- Discussion question to close
Tone: foreman-to-crew, plain language, no corporate filler. Read aloud in 5 minutes or less.
For incident reports, keep it stricter:
Write a near-miss report based on these field notes.

Use OSHA 301-style structure:
- Description of incident (factual only)
- Root cause analysis (5 Whys, brief)
- Corrective actions (specific, with owner and due date placeholders)

DO NOT speculate. DO NOT add anything not in the field notes. If a detail is missing, write [TO BE CONFIRMED].

Common Pitfalls on Construction Sites {#pitfalls}
1. Trusting AI takeoffs. Do not. Use the AI for narrative work. Use OST or PlanSwift for actual quantities.
2. Forgetting the trailer power cycles. Generators rotate, breakers trip. Configure Ollama to start on boot: brew services start ollama on Mac, systemctl enable ollama on Linux.
3. Letting subs use it. Your AI assistant has the contract and bid documents in its memory. Subs do not need access. Put it behind auth and limit to PMs and engineers.
4. Hallucinated spec citations. The model will sometimes cite a section that does not exist. Always click through to the source page in AnythingLLM before using a citation in an RFI.
5. Treating it as a replacement for the architect. It is not. It drafts. The architect of record interprets. Mixing those up causes contract disputes.
6. Not updating the workspace when addenda drop. Set a Friday afternoon reminder to re-index the workspace whenever a new addendum or ASI is issued. Stale RAG is dangerous.
7. Saving prompts in personal notes only. Build a shared prompt library on a network drive. Otherwise the engineer who wrote the good RFI prompt leaves and takes it with him.
